Set Team and User Capacities

EMDESK enables you to manage your team's weekly capacity, taking into account off-times such as annual leave, parental leave, sick leave, other types of leave, and public holidays.

A weekly capacity reflects the regular hours per weekday that a team member is expected to work.

To start managing capacities, navigate to the Time tab in your workspace. This section provides a visual overview of each team member’s capacity and tracked time, helping you monitor and adjust as needed.

Set Default Team Capacity

To set a default capacity for all users, which acts as a baseline unless individual adjustments are made, follow these steps:

  1. Click on the 'Settings' menu, then select 'Customization'.
  2. Scroll down to the section labeled "Default Team Capacity".
  3. Hover over the current weekly capacity shown for the team and click on the pencil icon to make changes.
  4. In the popup dialog, enter the hours per weekday your team works. Enter ‘0’ for days the team does not work, such as Saturday or Sunday.
  5. Click the 'Save' button to update the team’s default capacity settings.

Set User-Specific Capacity

For adjusting capacity on an individual basis, which overrides the default team settings:

  1. Select the 'Time' menu from the main menu.
  2. Choose 'Capacity view' to see the capacity settings for all users.

  1. Locate the user whose capacity needs adjustment. Hover over the cell in "Total Capacity" column for this user and click on the pencil icon.
  2. In the dialog box, set the specific hours per weekday that this team member will work. Remember to set days off (like weekends) to ‘0’.

To reset the user-specific capacity back to the team's defined capacity click the reset icon the bottom of the dialog box.

  1. Click 'Save' to apply the changes to the user’s specific capacity.

Now, the weekly capacity for the user has been customized.
